Mission and description of the role
We are seeking an enthusiastic and proactive Business Development Admin Officer to join our team. This entry-level position is ideal for recent graduates who are eager to contribute to our business development efforts and support both senior and junior business development officers globally. Fluency in both French and English is essential.
Note: the candidates can be based in Belgium or in one of our existing Country Offices (Burundi, Burkina Faso, Cameroon, DRC, Ivory Coast, Niger, Sénégal) and is required to have the right to work in that country.
Key Responsibilities:
Administrative Support:
- Assist in various administrative tasks, including formatting of CVs and gathering administrative documents needed for RFP submissions, and any other business development activities.
- Collect and compile past project references and other relevant documentation for proof of project completion and client satisfaction.
- Assist in the maintenance of internal documentation and knowledge management platforms, possibly in collaboration with the Administrative and Finance Teams.
- Contribute to the documentation of internal processes on relevant platforms (ex: internal wiki, Google Drive, etc.).
Proposal Development Support:
- Collaborate with senior business development officers and leads to support the development of compelling proposals for clients (ex: coordinating meetings, collecting internal inputs, tracking action points etc.).
- Ensure all documentation aligns with client needs and adheres to submission and compliance requirements.
- Prepare and distribute meeting notes, with clear actions and deadlines.
Outreach and Relationship Building:
- Support the organization of events and marketing initiatives.
- Assist in the follow-up of prospective clients after conferences and meetings.
Client and Contact Management:
- Help maintain accurate data in the CRM systems (ex: Odoo, Hubspot, etc.), including adding and segmenting contacts (ex: after conference attendance).
Standardized Materials and Marketing Assets:
- Contribute to the development of internal and external strategic documents, including country capacity statements and organizational capabilities.

Qualifications:
- Bachelor’s degree in Business, Economics, Global Health, or a related field.
- Strong verbal and written communication skills in French and English.
- Detail-oriented with strong organizational skills and the ability to manage multiple tasks.
- Self-motivated and proactive, with a willingness to learn and take initiative.
- Proficiency in Google Suite, Microsoft Office, and familiarity with CRM tools (Odoo, Hubspot) is a plus.
- Ability to work independently and collaboratively in a remote team
